The operational buyer role will establish procurement operations through the project and is a pivotal role for commercial support functions. This includes tasks such as creating suppliers, processing purchase orders, addressing supplier-related challenges, and offering commercial assistance across all project activities. Key responsibilities involve generating purchase orders, tackling invoicing and delivery issues, maintaining catalog information, and enhancing procurement procedures. The ideal candidate for this position should possess a minimum of 2 years of experience in procurement, indicating a level of familiarity and competency in handling such responsibilities.
Essential Job Functions
- Triggering/monitoring the creation and maintenance of suppliers in ERP-system(s) on request of Category Manager
- Triggering/monitoring the creation and maintenance of Purchase Information Records (PIR's) and contracts (including allocation to plants) in ERP-system(s)
- Keeping price, MOQ information in catalogue up to date in ERP-system(s)
- Side note: Category Managers are ultimately accountable for supply base and corresponding pricing agreements.
- Analyzing replenishment advice (MRP advice) for Warehouse and acting on it appropriately
- Convert requisition (and/or MRP advice) into PO.
- Creating PO (for project, manufacturing opco, sales opco or other needs)
- Ensuring PO approval and complete Supplier Order package (with specs, drawings, etc.) attached to PO.
- Sending PO (electronically) to the supplier
- Chasing order confirmation and update PO accordingly
- Monitoring delivery planning
- Optional: arranging shipment for deliveries
- Changing PO if needed
- Resolving supplier questions and issues related to the PO.
- Resolving invoicing issues related to PO.
- Resolving delivery / quality issues in consultation with Warehouse and Quality
- Request for Quotation (under guidance of Business Procurement Manager, Category Manager or Project Procurement Manager)
- Sending the RFQ (or RFP) for products and services (to the selected suppliers) under guidance of the Business Procurement Manager, Category Manager or Project Procurement Manager
- Receiving quotes (or proposals) and sharing with evaluation committee
- Reviewing the quotes (or proposals) based on the evaluation criteria set.
- Requesting for updated quotes (or proposals) and compare
- Preselecting supplier in consultation with Category Manager and award order to supplier
- Working towards process improvement in operational procurement process
- Identifying recurring problems and participating in resolving them
- Knowledge / experience in operational procurement / ordering / RFQ-ing required, at least 2 years, preferably in a broad variety of goods and services.
QUALIFICATIONS
Licenses, Certifications, and/or Registrations
- None required.
Education, Experience, and/or Training
- Bachelor’s degree in business administration strongly preferred (preferably with SCM or Procurement as major)
- Procurement certification preferred (CIPS, ISM, etc.)
- Knowledge / experience of ERP systems required, preferably SAP (S4 Hana)
- Knowledge / experience of (for the job relevant) administrative processes required.

Software
- Proficiency in Microsoft Office, including Excel, Word, and Outlook required.

- Ability to lift 25 lbs. occasionally.

Work Schedule
- Monday – Friday
- May work additional hours and days, including weekends and holidays as required.
Travel
- Less than 10% of the time.
